AVI Limited Disclaimer for Microsoft Teams Meetings
Participants in a virtual event (“event”) organized by AVI Limited or any of its subsidiaries and related companies (as defined in the Companies Act, 2008, as amended) (“AVI”) on Microsoft Teams, agree as follows:
- By connecting to the event participants acknowledge that they are authorised participants and that unauthorised access, intentionally or otherwise, is prohibited.
- They will ensure the confidentiality of the credentials (including the event ID, password, and username, if any) received by them for participation in the event.
- They will immediately notify AVI if the aforementioned credentials are lost or stolen or if they become aware of any unauthorised use of the credentials or any other breach of security that may affect the event.
- They understand that all information shared during the event is confidential to the proprietor of such information and that no right to use such information is automatically granted or implied by the sharing of the information during the event.
- They will ensure the confidentiality of all information shared during the event and, where permitted by the proprietor of the confidential information to share, use, or divulge such information, only do so as permitted.
- They accept the information security risk arising from the use of the Microsoft Teams video conferencing services during the event.
- They accept that AVI is not liable for any loss, damage, or expense howsoever caused, arising from the use of Microsoft Teams, including any loss, damage, or expense caused to third parties, during or as a consequence of the use of Microsoft Teams for the event.
- They take responsibility for the accuracy, completeness, and relevance of all information they disclose when participating in the event.
- They will not use the event to transmit any content that is unlawful or contains software viruses or similar harmful components.
- They accept that AVI waives any liability for any unlawful use of materials uploaded by a participant or any other third party on the Microsoft Teams platform.
- They hold AVI harmless with regard to any connection problem that participants may encounter with the Microsoft Teams platform.
Recording of the Event
The event may be recorded for various legitimate purposes. By participating in the event participants agree to the following terms regarding the recording of the event:
- Participants consent to being recorded, regardless of whether the event host has notified participants that recording is to be enabled or the purpose of such recording.
- If users do not wish to be recorded, they must immediately notify the event host and leave the meeting.
- Recordings may be retained for a period as determined by the nature and purpose of the recording.
- Access to the recordings will be restricted to authorised persons and for specific purposes only.
- Participants should refrain from discussing sensitive, confidential, or proprietary information during the event if they do not wish it to be part of the recording.
- Distribution or sharing of event recordings to third parties is only authorised with prior approval of AVI.
Protection of Personal Information
AVI respects the privacy and right to protection against unlawful processing of personal information of participants and all personal information made available to AVI or recorded by AVI during the event will be processed strictly in accordance with the provisions of the Protection of Personal Information Act, 4 of 2013 (“POPI Act”). Participants are required to have familiarised themselves with the provisions of the POPI Act and to ensure that they do not infringe the provisions thereof. Participants hold AVI harmless with regard to the unlawful processing of personal information by non-AVI participants in the event or by Microsoft Teams.
